Technical Requirements for Expense Capture

Recommended Minimum Requirements for Mobile Devices:
 

  • Camera in proper working condition with autofocus.
  • Available storage space to install the app and manage pending uploads.
  • Internet connection via Wi-Fi or mobile data.
  • Camera access permissions enabled.
  • Latest available version of Emburse Captio installed.

Device Operating System Version:
 

  • Android: version 10 or later.
  • iOS/iPadOS: version 16 or later.
Currently, the iPhone and iPad app requires iOS or iPadOS 16.0 or a later version.
Best Practices for Capturing Expenses
The automatic extraction process of information in Captio largely depends on the quality of the image uploaded to the system. In general, make sure to upload only images where you can clearly read the three essential pieces of information for Captio: date, amount, and vendor.
 

Whenever you photograph a receipt, make sure of the following:
 

  • Ensure the receipt appears fully in the image.
  • Use a dark-colored background that contrasts with the receipt.
  • Keep the device parallel to the document to avoid image distortion.
  • Turn on the flash when there is insufficient ambient light, avoiding reflections on the paper.
  • Clean the camera lens if the image appears blurry.
  • Do not place fingers on the receipt or fold it.
  • Verify that the date, amount, and vendor can be clearly read before confirming the capture.

Automatic Receipt Cropping:


The Emburse Captio camera includes a receipt scanner with automatic cropping. The updated scanner improves image cropping and stability during capture.
 

After photographing the receipt:

  • Check that the crop includes the entire document.
  • Verify that no part of the date, amount, vendor, or other information has been cut off.
  • Manually adjust the image edges if the automatic crop is incorrect.
  • Retake the photo if the image is blurry, has reflections, or does not clearly show the information.
New captures preserve the original color and contrast of the receipt, which improves image legibility and the results of automatic reading.
