What happens when a reviewer leaves the company?

Step by Step

  • REPORT ALREADY SENT FOR APPROVAL (by the reporter user)
  1. First, log in using the administrator user credentials to gain the necessary access rights for making workflow changes.
  2. Next, navigate to the configuration section and select the workflows option to access the workflow management area.
  1. Use the search filter to find the specific user’s workflow by entering the workflow name. Once located, click on the pencil icon to open the workflow for editing.

  1. In the workflow editor, update the reviewer stage by removing the previous reviewer’s name and entering the login of the new reviewer who will take over the approval responsibilities.

 

After completing this update, all reports that were awaiting review under the former reviewer’s account will be automatically redirected to the new reviewer’s account, ensuring a seamless transition in the approval process.

Additionally, we would like to remind you of the procedure to assign a different workflow to a user.

First, verify that the new workflow is properly configured within the user’s profile settings.

  1. Go to the configuration section and select users to access the list of all users in the system.
  1. Search for the specific user by entering their name or login credentials, then click on the edit option to modify their user details.
  1. Within the user’s profile, select the workflow tab and replace the existing workflow with the new one you have created by selecting it from the dropdown menu. Be sure to save your changes before exiting to apply the update successfully.

  • REPORT STILL IN DRAFT

If the report is still in draft status, the reporter—the user who originally created the report—will need to make the necessary changes themselves.

USING THE WEB

  1. Log in to Captio via the web interface, navigate to the reports section, and click on the name of the report you wish to edit to open it.
  1. Click on the “edit fields” option to modify the report details, including changing the workflow. After making the necessary changes, remember to click the save button to ensure your updates are applied.

USING THE APP

  1. Open the Captio app on your device, then access the reports section by tapping the three-line menu icon located in the upper left corner of the app interface.

 

  1. Select the report you want to modify by tapping its name, then tap the pencil icon (edit button) in the upper right corner to enter edit mode. After making the necessary workflow changes, be sure to tap the save button to confirm and apply your edits.
